Executive Secretary
(Singapore)

 

Responsibilities:

  • Provides full spectrum of secretarial and administrative support to Executive Chairman and/or other senior management members.
  • Organize/Liaising of Board of Directors’, shareholders’ meetings and functions.
  • Scheduling, organizing and prioritizing of internal and external meetings/functions, preparing Minutes of Meetings, reports, presentation, coordinate agendas & do necessary follow-ups.
  • Draft all types of correspondences and maintain proper filing and records
  • Assist in correspondences, emails, faxes, mails and outstanding issues
  • Manage Executive Chairman’s diary i.e. appointments, meetings, hotel & travel booking, expense claims, making/screening calls & etc.
  • Making travel & visa arrangement for all travelers, e.g. issuing of air ticket, travel requisition, accommodation, itinerary, necessary documents or items to be brought overseas, if necessary.
  • Manage and maintain statutory records and registers, tenancy agreements, intellectual property matters and filing of other confidential records.
  • Any other duties or ad hoc project as and when assign

Requirements:

  • Degree or Diploma in Business/Secretarial
  • Minimum 4-5 years of secretarial experience
  • Excellent written communication skills in English and Chinese
  • Able to handle mandarin speaking clients
  • Proficient in MS Word, Excel (Database Management) & Outlook
  • Ability to work independently, Meticulous with good eye for details
  • Pleasant, Disciplined and highly-driven with lots of initiative
  • Past experience working in corporate secretarial work in a Singapore public listed company will be considered favorably
